Updates to Privacy Notice

Data processing tables
We have expanded the data processing information to better explain the circumstances in which the LMA processes personal data and the lawful bases it relies upon.
For example:
- Adding a reference to the LMA having a legitimate interest in keeping business records which may contain members’ personal data.
- Adding a new section explaining how the LMA takes photos and video footage at its events to promote its work.
- Adding a new section explaining how the LMA processes and shares personal data in order to operate its mentoring schemes.
- Better explaining the situations where delegate lists for events are shared with other delegates and other people involved in the event.
Delegate list sharing
Previously, the LMA relied on event attendees specifically consenting to having their name, job title and organisation (delegate list information) circulated to the sponsors, prospective sponsors, exhibitors, prospective exhibitors, speakers and/or prospective speakers for that event.
Going forwards, the LMA may share delegate list information with these recipients based on the LMA’s legitimate interest, rather than relying on consent. The LMA’s legitimate interests include:
- Sharing delegate list information with sponsors and prospective sponsors to attract relevant sponsorship for the LMA’s events. Sponsors contribute to the event cost meaning the LMA’s costs for hosting the event (which are primarily funded by membership fees) are reduced.
- Sharing delegate list information with speakers to help them customise their presentations to the composition of the audience.
- To help exhibitors select LMA events which are relevant to their marketing objectives, to help exhibitors identify missed connections and to help connect delegates and exhibitors who have a mutual business interest.
These changes make it easier for the LMA to attract sponsorship for events so that members can attend free of charge.
Delegates (and their organisations) are given the opportunity to opt-out of this sharing by contacting the LMA by email to Registration.lmaevents@lma.eu.com. We are also updating our website to allow for one-click opt-outs to make the opt-out process as convenient as possible. This functionality is expected to go live next year.
These changes are not retrospective. The LMA will continue to rely on consent for the sharing of delegate list information collected before our Privacy Notice was updated.
These changes do not change the LMA’s sharing of delegate information with other delegates. The LMA still relies on opt-in consent to share this information, except for:
- Virtual events whereby certain information is automatically displayed to other members via the event platform.
- Events which use an events app, such as CrowdComms, whereby delegates’ profile information is viewable to other delegates by default. However, delegates can change their settings within the app to change their visibility settings.
Data subject rights
We have rewritten these sections to more clearly explain data subjects’ rights under UK and EU GDPR.
We have inserted a new ‘Access to information’ section which explains the Right of Access in greater detail.
Other changes
We have removed a number of unnecessary sections to make the Privacy Notice shorter and easier to follow.
